You sign up for scheduling software in March. You add a design tool for one project. A free trial quietly turns into a paid plan. An employee leaves, but their login keeps billing every month. But for many small businesses, recurring software and subscription costs have become one of the line items nobody looks at. They also tend to be some of the easiest dollars to get back. You're not imagining the problem. An [analysis reported by TechRepublic](https://www.techrepublic.com/article/half-software-licenses-unused/) of software use across more than 6 million work devices found that almost half of installed and licensed apps went unused. That data skews toward larger organizations, but the pattern is familiar to anyone who runs a small business: tools pile up faster than they get cleaned out. The end of the year is the right time to fix it. Many annual plans renew in January. You're probably planning next year's budget now. And for businesses in Sarasota and Manatee County, the busy season is about to start, which is when you'll want every dollar working for you. Here's a simple audit you can do in an afternoon. ## Step 1: Build the list from your statements, not your memory If you try to list your subscriptions from memory, you'll miss some. The ones you've forgotten about are exactly the ones you're looking for. Instead, pull the last 90 days of statements for every account and card the business uses, and write down every recurring charge. Ninety days catches the monthly charges and most quarterly ones. Then search your email for words like "renewal," "receipt," "invoice" and "your plan" to find annual charges that won't show up in a 90-day window. This step is much easier when all business spending runs through business accounts. If some software is billed to a personal card, now's a good time to move it. You're paying for five users, and three people log in. - Former employees. Accounts that were never shut off when someone left. That's a cost problem and a security problem. - Duplicate tools. Two apps that do the same job, often because different people picked different tools. - Trials that became plans. Something you meant to test and never cancelled. - Plans you've outgrown, or never grew into. A premium tier when you only use the basic features. You don't have to cut everything. The point is to make a decision on each item instead of letting it renew by default. ## Step 3: Check for price increases and auto-renewal terms Software prices change, and the notice often arrives as an email that's easy to skim past. Compare what you're paying today with what you paid when you signed up. While you're at it, look at the renewal terms on your larger contracts. Some annual agreements renew automatically and require notice weeks before the renewal date if you want to cancel or change plans. If you wait until the charge hits, you may be locked in for another year. If a tool is worth keeping but the price has crept up, it's worth asking about annual billing, a smaller plan or a loyalty discount. The worst they can say is no. ## Step 4: Put every renewal date on the calendar Once you've cleaned up the list, add each annual renewal to your calendar, with a reminder 30 days ahead. That gives you time to decide before you're charged, not after. It's also worth adding your annual subscriptions to your cash flow plan. That's how they should be treated: as real expenses, not background noise. A large annual renewal landing in January, right before or during your busiest stretch, is much easier to handle when you've planned for it. ## Step 5: Make it a habit A one-time cleanup helps. A quick check every quarter keeps it from building back up. ### A few simple habits make it easier: - Use one card for software. Running all subscriptions through a single business card makes them easy to spot on a statement. - Decide who can sign up. Even in a small business, it helps to have one person who approves new tools. - Add an offboarding step. When someone leaves, cancel or reassign their software logins the same day. - Set a quarterly reminder. Fifteen minutes with your statements every three months is usually enough. ## Start the new year with a cleaner list A subscription audit won't transform your business. What it will do is give you a clear picture of where your money goes each month and stop paying for things you don't use. It also keeps the January renewals from surprising you.
